General Information


Confirmation of Space and Date
Upon confirmation of the Grand Ballroom, a $1,500 facility deposit and $400 security deposit will be required along with a signed contract.
Upon confirmation of the Tiffany Ballroom , Marquise Ballroom, Aspen and Maple Garden Pavilions, a $750 facility deposit and $400 security deposit will be required along with a signed contract.
Upon confirmation of the  Emerald Ballroom and Fireside Conference Room, a $500 facility deposit and $400 security deposit will be required along with a signed contract.  Upon confirmation of the wedding ceremony only, a $250.00 facility deposit and $400.00 security deposit will be required along with a signed contract. Facility deposit becomes part of facility fee.

Space and Date Availability
Space and date of your choice may be held for up to 10 days without a deposit.
Should the same space and date you requested be desired by another client within this 10 day time frame, you will be given 24 hours to pay the facility and security deposit.

Security Deposit Refund Policy
Stonebrook Manor will not assume responsibility for the damage (including, but not limited to, smoking inside the facility) or loss of any merchandise or materials brought on the property at any time.
Any damage or loss caused by guests and/or staff hired by client may result in the loss of security deposit.

Further, payment for any damages or loss to
Stonebrook Manor may not be limited to the amount of the security deposit.
Security deposit, less any deductions, will be refunded within thirty days after event date.

Payment Information
Full payment of facility fee is required six months prior to event date.

If date is booked less than six months in advance, full payment is required thirty days after signed contract.
Events booked within thirty days of scheduled date, full payment is required at time of signed contract.
Cash, certified checks, personal checks, and major credit cards are accepted.

Pre-Event Meeting
Takes place approximately four weeks prior to event.
Typical attendees include a
Stonebrook Manor representative, bride, caterer, wedding consultant, etc.
Purpose of meeting is to review all event details.
Floor plan for event may not be altered after pre-event meeting without the approval of a
Stonebrook representative.

Additional Fees
All agreed upon additional fees are due two weeks before event date.
Any fees incurred after this time will be settled by event end.
Additional fees include, but are not limited to, any rental items not included in facility fee, additional guests, additional hours for event time or tear down time, additional staff, additional ceremony set-up charges, sales tax, security personnel, etc.
If the date and time you selected needs to be changed and it is possible to do so, a $125 fee will be assessed.
New date and time will be billed at the appropriate rates.

Guests Expected
A final guest count will be necessary one week prior to event.
This count may be adjusted for an increase in the number of guests, but cannot be reduced.

Event-End Checklist
A member of your party will be responsible for filling out our “Event-End” checklist at the conclusion of your event, making sure that Stonebrook Manor is restored to the excellent condition it was in at the beginning of your event.
A
Stonebrook Manor representative will review this list with you before your event is concluded.

Wedding Rehearsal
Booked on a space and time available basis.
Stonebrook Manor reserves the right to change and reschedule a rehearsal due to a new booking.
Approximately one hour.
  Rehearsal times to be confirmed thirty days in advance.

Brides/Grooms Rooms
Luxurious brides rooms/grooms rooms included on a space available basis with wedding ceremonies only..

Wedding Rehearsal Dinner
Scheduling your rehearsal dinner at
Stonebrook Manor, either inside our exquisite facility or outside in the beautiful gardens, will guarantee the time necessary for your rehearsal, as it may be easily held before or after dinner.

In The Event of a Cancellation
Written notice of a cancellation 12 months before event - 50% of facility deposit will be refunded.
Written notice of a cancellation 6 to 12 months before event - facility deposit will not be refunded.*
Written notice of a cancellation 0 to 6 months before event - facility deposit and base facility fee will not be refunded.*
*Exception: All or part of base facility fee may be refunded depending on whether space is re-rented and at what cost.  Security deposit will be refunded in full for all cancellations.

Smoking
Stonebrook is a non-smoking facility.  Outside smoking is allowed in designated areas only.  Proper receptacles must be used.
The security deposit could be forfeited if above rule is violated.

 
No cigar smoking allowed.

Catering/Vendor Information
Gourmet Fine Catering, one of the largest in Denver, is the in-house caterer at Stonebrook Manor, allowing them to serve freshly prepared meals on-site.
All other caterers will be required to pay a kitchen fee of $375.00 (based on 125 guests, additional guests will be charged $3.00 per person).  One kitchen manager and two wait staff for every 200 guests will be required and charged at the prevailing rate.
Self-catered events must be pre-approved and add and additional $1,000.00 to the base facility fee; $500 will not be refunded; $500 will be refunded only if caterer/vendor regulations and event-end checklist requirements have been met and approved by a Stonebrook Manor representative.  One kitchen manager and two wait staff for every 200 guests will be required and charged at the prevailing rate.
All caterers must be pre-approved and hold a current business license and proof of insurance (general and $1 to $2 million product liability coverage).  A copy of each of the above must be given to the Stonebrook Manor office thirty days prior to event.
Caterer must have a representative attend pre-event meeting to be held approximately four weeks prior to the event with client and a Stonebrook Manor representative.  Room set up will be determined at this meeting.
Vendors will be allowed on site 2 hours prior to event and for 1 hour after event unless a Stonebrook Manor representative has approved additional hours.
Caterer is responsible for cleaning of kitchen after event and signing in and out all dishware, flatware, glassware, linens, centerpieces and any other items owned by Stonebrook Manor for inventory purposes.
Caterer/Vendor is responsible for taking all trash to garbage bins outside of building.
Stonebrook Manor does not allow anything to be taped, nailed, pinned or attached to walls, floors, staircases, doors, etc. No rice, confetti, glitter, silly string, etc. is allowed on site.
 Caterer must meet all fire and health codes.
Vendors needing extra electrical power should contact a Stonebrook Manor representative prior to event.
 Caterer/Vendor will be responsible for filling out and signing “Event-End” checklist making sure Stonebrook Manor is in excellent condition upon departure.  A Stonebrook Manor representative will review list with vendor.
Stonebrook Manor reserves the right to work with vendors at their sole discretion. 

Rental Items
Stonebrook Manor owns all of the rental items you will need for your event.
Items needed must be rented from
Stonebrook Manor.
If, on a rare occasion, you need to rent additional items, a
Stonebrook Manor representative will assist you in any way possible in finding the items you desire.

Music
Any special requirements needed by a D.J./band etc., should be approved by a
Stonebrook Manor representative prior to the event date.

Security
Stonebrook Manor reserves the right to require security for any event.
Security is recommended for all events where alcohol is served.

Decoration Responsibilities
No glitter, confetti, crepe paper, rice, birdseed, string spray, or fireworks.
Do not attach anything to the building.
Wedding bubbles may be used outside of building.
Candles must be enclosed in glass.
An additional charge of $75/ hour will be assessed for extra clean up.

Holiday Rates
Valentines Day will be billed at Saturday rates

4th of July will be billed at Saturday rates

Memorial Day Weekend
Saturday – regular rates apply
Sunday – Saturday rates apply
Monday – Sunday rates apply

 Labor Day Weekend
Saturday – regular rates apply
Sunday – Saturday rates apply
Monday – Sunday rates apply

New Years Eve will be billed at Saturday rates

Alcohol/Drugs/Weapons
Alcohol served at any event is the sole property and responsibility of the client.
 Gourmet Fine Catering will hold the liquor license at Stonebrook Manor.
Gourmet will carry general liquor liability insurance coverage required under Colorado State Law.
Cash bars will be allowed.
A Stonebrook Manor representative will be present at all functions and may stop alcohol service at anytime.
Please check your homeowners/renter’s liability insurance policy to see if it provides for food and liquor liability coverage.
No alcohol is to be served to persons under 21 years of age.
Alcohol will be served no longer than 4 hours and will stop being served 1 hour before end of event.
No illegal drugs or controlled substances allowed.
No weapons of any kind allowed on the premises of Stonebrook Manor.
No lewd conduct permitted.
Failure to comply with any of the above guidelines could result in loss of security deposit and stoppage of event.

Parking
 Complimentary Parking.
Valet Parking-Includes 4 parking attendants and $200.00 for accident/liability insurance per event.

Pets/Animals
Pets and/or animals are not allowed on the
Stonebrook Manor property without the approval of a Stonebrook Manor representative.

Handicapped Accessibility
Stonebrook Manor is a fully handicapped accessible facility.


 

Off Season Discounts
 A 20% Discount will be offered for events book during the months of January, February, March, April and November.
