Stonebrook Manor Rules and Regulations

- Booking Fee:
· A $750.00 booking fee is required along with a signed contract. This amount shall be applied to total balance. · Any damage or loss caused by guests and/or staff hired by the client is the responsibility of the client. Space and Date Availability: · We can give you a twenty four hour “first right of refusal” on your choice date. You can maintain that right for 10 days. If, at any time during that period, another party wants to book the same date, we will try to notify you (call and/or leave a message) and you will have 24 hours in which to respond and book your date. · If necessary, please see a Stonebrook Manor representative for hold period extensions. Payment Information: Discounts: · Short Notice Bookings: (12 weeks or less before event date) – Package/Menu price shall be discounted 10%. Food/Bev/Bar minimum requirement is reduced by 10%. · Off-Season: (Jan., Feb., March, April, Nov.) – Package/Menu price shall be discounted 10%. Food/Bev/Bar minimum requirement is reduced by 10%. · A 10% discount will be given for events with a minimum of 200 adult guests with the Gold or Platinum packages. The client must have at least 200 adults guests when the contract is signed and at the final guest count. If the guest count falls below the required guest count, the price will be adjusted without the 10% discount. · One discount per event shall apply. Package/Room Pricing: · 50 percent due six months prior to event date. · The balance is due 10 days the before event date based upon the final guest count. An estimate will be sent to the client after the pre-event meeting. · All fees must be paid before event begins. · Cash, money orders, certified checks, personal checks and major credit cards are accepted. In The Event of a Cancellation: · Both parties agree that the following should be binding, without exception upon the parties as to cancellation. · The space and services of the event center are being taken off the market based upon the exclusive, non-refundable reservation of the space and services by client from Stonebrook. · Written notice of a cancellation must be delivered to a Stonebrook Manor representative via certified mail, registered mail with a return receipt, or hand delivered. Once received, the total contracted amount is due and payable. Stonebrook will then attempt to re-book the space and services. · If Stonebrook does re-book the space and services and the total contract amount has been paid by the cancelling party, Stonebrook will refund 25% of said amount to the cancelling party approximately 15 business days from the conclusion of the re-booked event. · If Stonebrook is not able to re-book the space and services no refund will be given. · All payments not paid by due dates will result in an immediate cancellation and all monies that have been paid shall be forfeited and the total contracted amount is due and payable. Change the Date: · If the date, time or room selected needs to be changed and it is possible to do so, a $125.00 fee will be assessed. · Notification must be given at least 6 months prior to the event. · Notification of change must be in writing. · New date, time, or room will be billed at current rates. Pre-Event Meeting: · One hour pre-event meeting takes place approximately 30 days prior to event, during weekday business hours (Monday – Friday). · Typical attendees include a Stonebrook Manor representative, bride, wedding consultant, bar manager, contact person, etc. · Purpose of meeting is to review all event details. · Contact person responsibilities: during pre-event meeting, client will select one contact person. This person should be in attendance during the entire event and must be able to make decisions i.e. financial, extra hours, liquor, etc. Stonebrook Manor event manager will communicate solely with this person throughout your event.
