Confirmation
of Space and Date
- Upon confirmation, a $750.00 booking fee will be required along with a signed contract.
- Upon confirmation of the wedding ceremony only, a $250 booking fee will be required along with a signed contract.

Booking
Fee
- The booking fee is required to confirm space.
- The booking fee will be returned within 4-6 weeks after the event less any deductions including, but not limited to: additional hours, additional rentals, extra clean up, extra time used, not adhering to rules and regulations, etc.
- Stonebrook Manor will not assume responsibility for damages (including, but not limited to, smoking inside the facility) or loss of any merchandise or materials brought on the property at any time.
- Any damage or loss caused by guests and/or staff hired by the client may result in the loss of the booking fee.
- Payment for any destruction or loss to Stonebrook Manor may not be limited to the amount of the booking fee.

Space
and Date Availability
- We can give you a twenty four hour “first right of refusal” on your choice date. You can maintain that right for 10 days. If, at any time during that period, another party wants to book the same date, we will try to notify you (call and/or leave a message) and you will have 24 hours in which to respond and book your date.

Payment Information
Room and Food Option-
- 50 percent of food and room fee is due six months prior to event date.
- The balance is due approximately 30 days before event date.
- All fees must be paid before event begins.
- Cash, money orders, certified checks, personal checks and major credit cards are accepted.

Room Only Option (available everyday except Saturday)
- Full payment of facility fee is required six months prior to event date.
- If date is booked less than six months in advance, full payment is required at signing of contract.

In
The Event of a Cancellation
- Written notice of a cancellation 12 months before event – 50% of the booking fee will be refunded.
- Written notice of a cancellation 6 to 12 months before event – the booking fee will not be refunded.
- Written notice of a cancellation 0-6 months before event – the booking fee will not be refunded. Facility fee and/or food and room fee may be refunded depending on whether space is re-rented and re-rent fee.
- Written notice of a cancellation must be delivered to a Stonebrook Manor representative via certified mail, registered mail with a return receipt, or hand delivered and shall be effective once received.

Date
Change Fee
- If the date, time or room you selected needs to be changed and it is possible to do so, a $125 fee will be assessed. New date, time or room will be billed at the current rates. Notification of change must be in writing.

Pre-Event
Meeting
- Takes place approximately 30 days prior to event.
- Typical attendees include a Stonebrook Manor representative, bride, caterer, wedding consultant, bar manager, etc.
- Purpose of meeting is to review all event details.

Additional
Fees
- All agreed upon additional fees are due 30 days before the event. Any fees incurred after this time will be settled before event begins.
- Additional fees include, but are not limited to, any rental items, additional guests, additional hours for event time or tear down time, additional staff, additional ceremony set up charges, sales tax, security personnel, additional time used, additional chair set-up, decoration installation.

Additional
Event Hours
- Additional hours may be purchased at the rate of $250 per hour plus staffing. This rate will be charged for the entire hour or any part thereof. Additional hours may only be purchased, if available. Staff charges are as follows: $25/hr-captain, $25/hr-chef, $20/hr-servers/cleanup personnel, $20/hr-bartenders, $25/hr-onsite manager, $100/hr-DJ.
- If the event runs past the scheduled event time, (either before or after the standard 7 or 7 ½ hour time frame) an additional charge of $250 per hour plus staffing will be assessed to the client. This rate will be charged for the entire hour or any part thereof.
- If extra clean-up is necessary at the end of event, a charge of $250/hour or any part thereof will be assessed.

Availability
- Pavilions are available year-round. Heating units may be necessary during colder months.

Guest Requirements
- Stonebrook Manor chairs are rated at 300 lbs. If you have special requirements over this, let us know at pre-event meeting.

Expected
- A final guest count will be necessary one week prior to event.
- This count may be adjusted for an increase in the number of guests, but cannot be reduced. If reduced, additional fee may apply.

Event-End
Checklist
- A Stonebrook Manor representative will be responsible for filling out Event End Checklist. Client has the right to review Event End Checklist with on-site manager. If client chooses to relinquish this review, client will still be responsible for condition of building upon departure.

Wedding
Rehearsal
- Booked on a space and time available basis.
- Stonebrook Manor reserves the right to change and reschedule a rehearsal.
- One hour in length. Must be completed within one hour or a fee of $75/hour or any part thereof will be charged.
- Rehearsal times to be confirmed thirty days in advance.

Brides/Grooms
Rooms
- Complimentary brides rooms/grooms rooms available depending on bookings. Use to be given during reception setup time. Times may vary. Rooms may not be used for children play areas.
- Ceremony only: Clients are given a 2 hour time frame when having ceremonies only at Stonebrook Manor. Complimentary brides/grooms rooms may be used within the 2 hour time frame based on availability. Rooms may not be used for children play areas.

Wedding
Rehearsal Dinner
- Scheduling your rehearsal dinner at Stonebrook Manor, either inside our exquisite facility or outside in the beautiful gardens, will guarantee the time necessary for your rehearsal, as it may be easily held before or after dinner.

Smoking
- Stonebrook Manor is a non-smoking facility. Outside smoking is allowed in designated areas only. Proper receptacles must be used.
- No cigar smoking allowed.
- The booking fee could be forfeited if above rules are violated.

Rental
Items
- Stonebrook Manor owns most of the rental items you will need for your event.
- Items needed must be rented from Stonebrook Manor.
- If, on a rare occasion, you need to rent additional items, a Stonebrook Manor representative will assist you in any way possible in finding the items you desire.

Catering
- Full Service Caterer: Bring in food already prepared using own equipment/utensils. Provide wait staff. Set-up/tear down of reception, bus tables, cut and serve cake, coordinate event timeline, clean-up. Full service caterer is licensed and insured ($1 million to $2 million recommended in food service liability coverage).
- Client Catered and/or non-licensed caterer (caterer not having current food service license). Bring in food already prepared using own equipment/utensils. Stonebrook Manor will provide staffing for set-up/tear-down, wait staff, kitchen staff, and bartenders for an additional fee. It is recommended that client’s home owners insurance includes food and liquor liability coverage.

Vendors
- Vendors will be allowed on site 2 hours prior to event and for 1 hour after event unless a Stonebrook Manor representative has approved additional hours.
- Stonebrook Manor does not allow anything to be taped, nailed, pinned, or attached to walls, floors, staircases, doors, etc. No rice, confetti, glitter, silly string etc., is allowed on site.
- Vendors needing extra electrical power should contact a Stonebrook Manor representative prior to event.
- Stonebrook Manor is not responsible for any items brought to the facility.
- Stonebrook Manor reserves the right to work with vendors at their sole discretion.
- Damage to plants can be very costly. No set up is allowed in mulched areas or where plants/flowers are growing.
- Stonebrook Manor will not be held responsible for the performance of any vendor contracted by client.

Security
- Stonebrook Manor reserves the right to require security for any event.
- Security is recommended for all events where alcohol is served.
- Security rate is $25 per hour per security personnel.
Set Up
- Chairs for event will be set up once. Any set-up necessary after this will be charged $1.00/chair.
Deliveries
- For events held inside Stonebrook Manor all deliveries (sound equipment, flowers, cakes, decorations, etc.) should be unloaded at the rear of the building. (Exception: Fireside Room – load/unload at east door.) Events outdoors: deliveries should be unloaded directly to outside area.
- Vehicles should not remain in loading/unloading areas. Parking available in front of building.

Decoration
Responsibilities
- Decorating allowed only during reception set-up time.
- For ceremony only events, decorating will be done in the two hour time framed allotted.
- Any decorations set on fireplace mantles must have protection underneath to prevent scratching, water leakage, etc.
- Any decorations on staircases must be attached with floral tape or string to prevent damage.
- Decorations, flowers, etc., should be removed by event end.
- No glitter, confetti, crepe paper, rice, birdseed, string spray or fireworks.
- Do not attach anything to the building.
- Wedding bubbles may be used outside only.
- Candles must be enclosed in glass.
- If the day after your event, extra clean-up is necessary an additional charge of $75/hour or any part thereof will be assessed. (Example: gum found in the carpet, cake clean-up, decorations not taken down, etc.)
- Please do not assume that it is OK to move items or make changes to our building, grounds, planters, etc., without permission. Please ask at our front office before making these decisions.
- Any installation of flowers, lights, etc., on the gazebos must be installed by Stonebrook Manor or a licensed vendor. A charge of $35/hour or any part thereof will be assessed if Stonebrook Manor provides installation.
- Vendors must bring their own ladders, extension cords, etc., for installation of decorations. A charge of $25 per item will be assessed if these items are rented from Stonebrook Manor.

Alcohol/Drugs/Weapons
- Alcohol served at any event is the sole responsibility of the client.
- Stonebrook Manor holds a liquor license. Cash bars will be allowed.
- Stonebrook Manor will carry general liquor liability insurance coverage required under Colorado State Law.
- Absolutely no liquor can be brought on the premises except by the holder of the liquor license. If unauthorized liquor is found on the premises(open or unopened), it will be confiscated and the event may be terminated at the discretion of Stonebrook Manor. Any unauthorized alcohol found on the property will automatically result in the loss of the booking fee.
- A Stonebrook Manor representative will be present at all functions and may stop alcohol service at anytime.
- Please check your homeowners/renter’s liability insurance policy to see if it provides for food and liquor liability coverage.
- No alcohol is to be served to persons less than 21 years of age.
- Service of alcohol will stop 1/2 hour before end of event.
- No illegal drugs or controlled substances allowed.
- No weapons of any kind allowed on the premises of Stonebrook Manor.
- No lewd conduct permitted.
- Failure to comply with any of the above guidelines could result in loss of the booking fee and stoppage of event.

Parking
- Complimentary Parking.
- Valet Parking at client’s expense upon request.

|
Children
- Absolutely no unsupervised children allowed.
- Children should stay within the event area at all times.
- Children must not run through gardens, play on rocks or in water features, or play in foyer area.
- All precautions must be taken to insure that there are no injuries to any adult or child. Liability insurance is extremely expensive and any accident will eventually cause those rates to escalate or the policy being cancelled which would obviously severely impact operations at Stonebrook Manor.
- Booking fee may be at risk and event may be stopped if inappropriate conduct by children occurs.

Pets/Animals
- Pets and/ or animals are not allowed on the Stonebrook Manor property without the approval of a Stonebrook Manor representative.

Accessibility
- Stonebrook Manor is a fully handicapped accessible facility.
|

Menus
- All menus must be selected on or before 30 days of your event. Menu items may vary slightly before final selection. Once you select your menu, there will be no further changes.
